This privacy policy applies to the SenseWork mobile application for Android (available on Google Play) and the SenseWork web platform at sensework.ai (collectively, "the Service"), developed and operated by School 4 One ("we", "our", "us").
SenseWork is a meeting intelligence platform that processes audio recordings to generate transcriptions, identify speakers, and produce AI-powered analysis. This privacy policy explains how we collect, use, store, and protect your data, including audio recordings and their derived content.
2. Information We Collect
Account Information
Name, email address, and authentication credentials used to access the platform.
Audio Recordings
Audio files you upload or record through the SenseWork web or mobile applications. These may contain voices of meeting participants.
Derived Data
- Transcriptions — text generated from your audio via speech-to-text processing.
- Speaker Profiles — voice embeddings used to identify and distinguish speakers across recordings.
- AI Analyses — summaries, action items, participant assessments, and other insights generated by AI models.
Usage Data
Email event tracking (opens, clicks) for meeting briefings and action request notifications sent through the platform.
3. How We Use Your Recordings
Audio recordings are used exclusively for the following purposes:
- Transcription — converting speech to text using third-party services (AssemblyAI) or on-device models (Whisper).
- Speaker Diarization — identifying distinct speakers within a recording.
- Speaker Identification — matching voices to known profiles using NVIDIA TitaNet voice embeddings.
- AI Analysis — generating meeting summaries, action items, and insights using AI providers (OpenAI, Anthropic, Google).
We do not use your recordings for advertising, model training, or any purpose unrelated to providing you with the SenseWork service.
4. Third-Party Services
To process your recordings and generate analysis, we share data with the following third-party services:

Audio files uploaded to Amazon S3 for transcription are deleted immediately after processing unless explicitly configured otherwise. Raw audio is never sent to AI analysis providers — only the text transcript.
5. How We Keep Your Data Safe
- Encryption in Transit — all data transmitted between your device and our servers is encrypted using TLS/HTTPS.
- Access Control — project-based permissions ensure users can only access conversations and recordings within their authorized projects.
- Temporary Cloud Storage — audio files uploaded to S3 for processing are deleted after transcription completes.
- Token Security — Gmail OAuth tokens and API credentials are stored encrypted and refreshed automatically.
- Authentication — API access requires token-based authentication; web access requires user login.
6. Data Retention
- Audio recordings — retained on the server as long as the associated conversation exists. You may delete conversations at any time, which removes the associated audio files.
- Transcriptions and analyses — retained alongside conversations and deleted when the conversation is deleted.
- Speaker voice profiles — voice embeddings are retained until the associated profile is deleted.
- Email event data — delivery, open, and click tracking data is retained for operational purposes.
7. Your Rights
You have the right to:
- Access your data, including recordings, transcriptions, and analyses.
- Delete your conversations, which removes associated recordings, transcriptions, and analyses.
- Delete speaker profiles and their voice embeddings.
- Export transcriptions in multiple formats (JSON, SRT, CSV).
8. Consent for Recording
You are responsible for obtaining appropriate consent from all participants before recording conversations. SenseWork is a tool for processing recordings you provide — the legal responsibility for the recording itself rests with you. We recommend informing all participants that the meeting is being recorded and how the recording will be used.
9. Changes to This Policy
We may update this privacy policy from time to time. Material changes will be communicated through the platform. Continued use of SenseWork after changes constitutes acceptance of the updated policy.
10. SenseWork Mobile Application
The SenseWork Android application, available on Google Play, allows you to:
- Record audio directly from your mobile device
- Upload recordings for transcription and analysis
- Access your transcriptions and meeting insights
The mobile app requires the following permissions:
- Microphone — to record audio for transcription
- Internet — to upload recordings and sync data with the SenseWork platform
- Storage — to save recordings locally before upload
All data collected through the SenseWork mobile app is processed according to this privacy policy.
